Description

The purpose of this position is to be responsible for accurately abstracting, analyzing and maintaining all lease/legal documents for Publix leased locations and ensuring that all lease-related critical dates are tracked and followed-up on so that Publix never misses a critical date associated with its retail, office, warehouse or distribution-related leases.

This position is also responsible for maintaining numerous computer programs and reports in order to access current Lease information and acting as a liaison for reporting and communication between Real Estate and all other associates within Publix, as it relates to new and existing retail, office, manufacturing and distribution locations, including all facility notifications, archived store information, tracks new and existing facilities and answers questions regarding Lease compliance. Also this position works as a liaison between Publix and our Landlords as it relates to preparing necessary legal documents for the Landlords to execute loan closings and the sale of shopping centers, letters prepared for lease analysis and maintenance, changes in ownership, management and rental payments, lease commencement and renewals.

Primary Responsibilities

  • Responsible for Document Preparation and Maintenance.
  • Responsible for the reporting and communication of all Store Notices relating to Publix sites.
  • Responsible for abstracting, analyzing and maintaining leases, amendments, and legal documents for retail stores, Liquor stores, warehouse/office spaces and any locations where Publix maintains a lease.
  • Responsible for Information Technology Maintenance which includes creating entries and maintaining computer programs and databases.
  • Responsible for creating and maintaining procedural guide and training associated with the use of various programs and Publix lease documents.
  • Responsible for directly supervising a file clerk and the File Room and Records Management functions
  • Responsible for directly supervising a lease compliance analyst.

Required Qualifications

  • High School diploma or its equivalent
  • Two years of real estate experience or 1 year with Publix.
  • Ability to think analytically as well as possess professional communication skills (both written and verbal)
  • Strong interpersonal and leadership skills
  • Ability to be flexible and highly productive while working independently with little to no supervision
  • Possess a high degree of self-motivation and commitment, as well as possess strong planning and organizational skills to manage multiple tasks simultaneously, while being organized and detail-oriented
  • Capable of initiating and managing research efforts utilizing both internal and external resources as well as the ability to perform investigative work
  • Ability to make appropriate decisions and recommendations
  • Negotiation minded to successfully negotiate appropriate legal documents to accomplish desired results
  • Ability to understand and interpret complex legal documents, including leases (build to suit, ground and pad leases) as well as possess an understanding as to how legal documents relate to one another
  • Possess an in depth understanding of Real Estate financial terminology (rent, CAM, R/E Taxes, Cap, etc.)
  • Understand which information can be shared with internal and external customers, while maintaining a high level of judgment and confidentiality
  • Basic understanding of departments and the inter-relationships within the company
  • The Incumbent must have an in-depth knowledge of the different areas of Real Estate including:
    • Understand the property maintenance processes and be familiar with the associated terminology,
    • Understand Landlord/Tenant responsibly as it relates to maintenance (including the difference in Landlord/Tenant responsibility as it relates to build to suit leases, ground leases, pad leases and owned properties), Understand the expense payables process, including knowledge of CAM reconciliations, Pro-rata share and Real Estate Taxes),
    • Understand the Lease Administration processes, including knowledge of income leases as well as an advanced knowledge of expense leases,
    • Understand the fee development process,
    • Understand the site selection process; and,
    • Understand the construction process including possession and substantial completion.
    • Ability to effectively exchange thoughts and ideas with peers in a cross-function setting, including all levels of the organization
    • Ability to make informative and effective public presentations as well as possess the ability to offer differing opinions with confidence in a tactful, well-thought-out manner
    • Able to prepare sensitive communication (emails, correspondence, letters) to external and internal customers (LLs, customers, other departments, etc.)
    • The incumbent must maintain strong management skills in order to positively motivate others to success, mentor and counsel associates and lead others by example
    • Incumbent must delegate routine tasks to others and follow through to ensure work meets defined objectives as well as effectively train associates to accomplish required tasks.
    • Incumbent must possess the ability to understand Compass, how the system operates and be a main point of contact to address Compass difficulties.

  • Bachelor’s Degree in any field
  • 5 years of real estate experience or 3+ years with Publix
  • Paralegal Certification

Year End Bonus

To reward associates for their contributions to the company for the calendar year, Publix provides a Holiday Bonus in November. In the first year of continuous employment the bonus is equal to 15 hours of pay, and in the second year of continuous employment the bonus is equal to one week’s pay if associate remains employed through issue date of the bonus check. In subsequent years, the bonus is equal to two weeks’ pay.
