Description
The purpose of this position is to provide administrative support to all of the District Managers (DM) in a given region.
The responsibilities listed on this position analysis are not intended to be all-inclusive and additional responsibilities may be assigned as needed.
Responsibilities include:
- Assisting and supporting the District Manager in a centralized location, which includes the following:
- Locating and printing regular reports
- Filing documents
- Maintaining up-to-date information on store managers and finalists
- Updating files when changing districts or stores
- Assisting with the many issues that come up during DM’s vacation
- Gathering information requested by the RD or Divisional Vice President (DVP) through phone calls or emails
- Faxing needed documents
- Completing lists for requests for Positions Leading to Management (PLM) moves for monthly meetings
- Tracking Job Class Training (JCT) completion
- Providing or coordinating technical support on various computer programs (e.g., OWA, share drives, mapping network drives)
- Managing and maintaining paperwork needed for Continuous Quality Improvement (CQI) projects. This includes organizing paperwork, typing memos in MS word, and compiling data in MS Excel
- Making copies, organizing and sending weekly mail to stores
- Typing memos to retail associates and customers in MS Word (non-sensitive issues)
- Shredding sensitive documents
- Reading and responding to emails while a DM is on vacation or otherwise out of the office for a long period of time
Required Qualifications
- High School Diploma or its equivalent
- 1 year of clerical or office administration experience with MS Office experience
- Knowledge of retail operations and department processes.
- Knowledge of general office procedures
- Computer skills including MS Outlook, Word, Excel, PowerPoint; Publix Connection; Emc2
- Ability to work independently with little supervision.
- Written and verbal communication skills
- Multi-tasking and prioritization skills
- Willingness to work a flexible schedule with possible extended hours
Preferred Qualifications
- Associate’s degree in Business
- 1 year of clerical or office administration experience with MS Office experience and
- 1 year of retail experience

Year End Bonus
To reward associates for their contributions to the company for the calendar year, Publix provides a Holiday Bonus in November. In the first year of continuous employment the bonus is equal to 15 hours of pay, and in the second year of continuous employment the bonus is equal to one week’s pay if associate remains employed through issue date of the bonus check. In subsequent years, the bonus is equal to two weeks’ pay.
